Privacy Policy

This Privacy Policy describes how Solvixa Solutions LLC (“Solvixa,” “we,” “us,” or “our”) handles information in connection with the public website at solvixasystems.com and related pages we operate, including the scheduling page at /book. It is not a certification of compliance with any particular privacy statute.
Who We Are
The website is operated by Solvixa Solutions LLC, a limited liability company organized in the State of Florida, United States.

Scope
This policy applies to information processed in connection with use of the Solvixa public website and the scheduling experience offered on it.
It does not replace a client services agreement, statement of work, or other written engagement terms. If you later enter into a written agreement with Solvixa for professional services, that agreement may contain additional confidentiality, data-handling, or security terms for that engagement.
This policy also does not govern websites, applications, or services that we do not control, including Cal.com’s own platform except to the extent we explain how our website uses Cal.com for scheduling.
Information We Receive
At the effective date of this policy, the Solvixa website itself does not include first-party contact forms, user accounts, authentication, file uploads, payment processing, newsletter signups, chat widgets, or CRM integrations. The website does not operate first-party API routes that receive personal information.
We may still receive limited information in the ordinary course of operating a website, such as:
- Information you choose to submit through the Cal.com scheduling experience on /book, as described below.
- Information you send us directly by email, including to the privacy contact address in this policy.
- Standard technical information that may be processed by the systems that host or deliver the website, such as IP address, browser type, date and time of access, and requested pages. Solvixa does not currently operate a first-party analytics product on the website.
We do not currently ask website visitors to create an account or upload files through the public site.
Scheduling Through Cal.com
The only current personal-information submission mechanism on the website is the scheduling experience on /book. Scheduling is provided through Cal.com, using an embedded scheduler for the Operations Review event.
When you request a meeting, booking information is submitted to and processed through Cal.com. Solvixa’s website does not proxy that booking submission through its own API.
Depending on the booking form presented by Cal.com, information may include:
- Company name
- Email address
- Phone number
- Meeting topic or a description of what the meeting is about
- Additional notes
- Selected date and time
- Time zone
- Meeting-location information associated with the booking, such as conferencing details
Cal.com may interact with calendar and conferencing services configured by Solvixa in order to determine availability, create appointments, send scheduling information, and facilitate meetings. Website visitors cannot view Solvixa calendar contents through the public website.
Cal.com’s own Privacy Policy and Terms also apply to your use of its scheduling service. Cal.com may use its own infrastructure, conferencing functionality, and other technologies to provide, secure, or operate that service. Solvixa does not control Cal.com’s cookies, subprocessors, or independent data practices.
How We Use Information
Solvixa may use booking and other contact information we receive to:
- schedule and administer requested meetings;
- communicate regarding the requested meeting;
- understand the reason for the inquiry;
- respond to questions;
- evaluate a potential business relationship;
- follow up regarding services discussed or requested;
- maintain reasonable business and legal records;
- protect the company, website, and users where necessary; and
- comply with applicable legal obligations.
We do not use booking information to subscribe you to promotional marketing communications solely because you scheduled a meeting. Ordinary meeting and business follow-up may still occur. If we introduce marketing communications in the future, we will provide any choices or notices required by applicable law.
Booking information is not automatically added to a CRM through the website. No CRM is currently implemented on the site.
Analytics and Advertising
At the effective date of this policy, we do not use first-party advertising pixels or behavioral advertising technologies on the Solvixa website. We also do not currently operate Solvixa-configured website analytics products such as Google Analytics, Google Tag Manager, Meta Pixel, LinkedIn Insight Tag, Microsoft Clarity, Hotjar, PostHog, or Plausible.
If our analytics or advertising practices materially change, we may update this policy and provide additional notices or choices where required.
Data Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including scheduling and business follow-up, maintaining appropriate business records, resolving disputes, enforcing agreements, and satisfying legal, accounting, or reporting obligations.
Information processed independently by Cal.com is also subject to Cal.com’s retention practices. Solvixa cannot promise immediate deletion from third-party systems outside Solvixa’s control.
Data Security
We use reasonable administrative, technical, and organizational measures appropriate to the nature of the information and our operations. No method of transmission or storage can be guaranteed to be completely secure.
Your Privacy Choices and Rights
You may contact us at privacy@solvixasystems.com to ask about personal information Solvixa maintains about you, to request correction or deletion, or to ask privacy questions.
Depending on where you live and applicable law, you may have certain rights regarding personal information. We will consider requests in light of those laws and our records. This policy does not claim that every visitor has every privacy right under every statute, or that Solvixa is subject to a particular comprehensive privacy law.
Requests concerning information independently controlled by Cal.com may also need to be directed to Cal.com. Solvixa will reasonably assist where appropriate.
International Visitors
Solvixa primarily markets services to businesses in the United States. The website is operated by a United States business. If you access the website from outside the United States, information processed in connection with your inquiry may be processed in the United States and through service providers operating in other jurisdictions.
Children's Privacy
The website and Solvixa’s services are intended for business users and are not directed to children under 13. We do not knowingly solicit children’s personal information through the website. If Solvixa learns that personal information from a child was submitted improperly, we may take reasonable steps to delete it where appropriate.
Third-Party Services and Links
The website may link to third-party sites or embed third-party services, including Cal.com. Those services are governed by their own terms and privacy practices. Solvixa is not responsible for the privacy practices of services we do not control.
Changes to This Policy
We may update this Privacy Policy from time to time. The “Last Updated” date at the top of this page will change when we do. If our practices materially change, we may provide additional notice where appropriate.
